LEADERROLL Talk to us

For after-school, camps and enrichment

You run the classes. We'll handle the sign-ups.

Families sign up and pay in one place. The ones who start and don't finish get followed up until they do. You get one page that shows you everything.

Sound familiar?

How sign-ups work at most programs today.

Every season, the same six steps.

1

Someone makes a Google Form.

2

Parents fill it in. The answers land in a spreadsheet.

3

Money arrives by Venmo, by check, and in cash on the first day.Three places to look instead of one.

4

Someone sits down and matches the money to the names. This takes a whole weekend.

5

Some families start the form and never finish it.Nobody notices. Nobody follows up.

6

A class fills up, but nobody is sure who asked first. The waiting list is a text thread.

None of this is anyone's fault. It's what happens when the person running sign-ups is also teaching the classes. We built LeaderRoll to take these six steps off your plate.

How it works with LeaderRoll

Those six steps become one link.

You send families one link. They fill it in and pay on their phone. That's the whole thing. Everything after that happens on its own.

They sign up and pay at the same time

No more matching Venmo payments and checks against a spreadsheet. By the time they close the page, it's already done.

It works out sibling and multi-class discounts

Second child $50, second class $30 — the form does the math. Parents don't add it up and neither do you.

They get a receipt straight away

It shows exactly which classes they signed up for. Far fewer "did we register?" messages the week before you start.

It works for any program you run

After-school clubs, camps, sports, music, tutoring. If families sign up and pay, it fits.

Follow-ups

Most families don't say no. They just forget.

A mother opens your form on Saturday night. She gets as far as the payment. Her daughter calls her from the other room. She puts the phone down.

She means to come back to it. She doesn't.

Nothing reminds her. You never even know she was there. In September you wonder why the class is smaller than last year.

This is the single biggest reason programs lose families, and almost no sign-up system does anything about it. A form collects whoever finishes. We go after the ones who don't.

Monday

An email tells her exactly what's left. Not "please complete your form." The actual missing piece.

Thursday

A second email, with your deadline in it.

Next week

Still nothing? We tell you to call her. A person steps in when a person is needed.

Done

She finishes and pays. One more child in your program.

You decide how often You approve every word Stops the moment they finish Stops if they write back

For you

One page tells you everything.

No spreadsheet. No adding up bank transfers. Open it on your phone between classes.

  • How many children are signed up, class by class
  • Who has paid, and who hasn't
  • Who started the form and stopped halfway
  • Who is on the waiting list, and in what order
  • How much money has come in so far
  • A roster you can hand to your instructors

When a class fills up

A waiting list that remembers who was first.

Right now, when a family drops out in October, someone has to scroll back through messages to work out who to call. This just tells you.

  • Families are told honestly that the class is full
  • They're added to a list, in the order they asked
  • A spot opens, and you know exactly who to call first
  • Everyone else stays on the list for next season

If your program is bigger

When the phone never stops, we can answer it too.

Some programs are large enough that the sign-up form isn't the problem, the phone is. Three hundred families, one number, and it rings while you're teaching, on Saturday mornings, and at ten at night. If that's you, we can put an automated front desk on the line you already use.

Your own phone number Your own words, approved by you No new equipment

What it costs

One low yearly price. No fee per child.

Most sign-up systems take a cut of every single registration. The more your program grows, the more they take. We don't work that way. You pay one price for the year, whether you sign up forty children or four hundred.

Starts at $199 a year. The exact number depends on how many programs you run. Show us your current form and we'll tell you on the spot.

Getting started

You don't set it up. We do.

Nobody has to learn new software. Nobody has to build anything.

  • Send us your current form and your fees, that's all we need to start
  • We build it to match what you already ask families
  • You look at it and tell us what to change, before any family sees it
  • Ready in about three weeks

Questions

Things people ask us.

We already use a Google Form. Why change?

A Google Form collects whoever finishes it. It doesn't take payment, it doesn't follow up with the family who stopped halfway, and it doesn't keep a waiting list in order. Those three things are where programs lose children every season.

Our sign-ups are already closed for this season.

Then this is the right time to talk. Setting up during your quiet months means next season opens properly instead of in a rush. And if you run anything else during the year, a camp or a short course, we can start with that one.

Can parents still pay by check, Venmo or cash?

Yes. You mark those as paid in the dashboard, so everything still shows up in one place rather than two.

Do parents have to create an account?

No. They open the link, fill in the form, pay, and get a confirmation email. That's the whole thing.

Do we have to learn new software?

No. We build it and hand you a link. The only thing you'll open is a single page that shows you who signed up and who paid.

What if a class is full?

Families are told honestly and added to a waiting list, in the order they asked. When a spot opens you know exactly who to call.

How many follow-ups do you send? We don't want to bother people.

You decide how often, and you approve the wording before anything goes out. Follow-ups stop as soon as the family finishes or writes back. If they still haven't finished, we hand them to you for a phone call instead of sending more email.

Where does the money go?

Straight into your own Stripe account. We never hold your funds, and card numbers never touch our system. Stripe's card fee applies, same as anywhere else that takes cards.

Who do we call if something goes wrong?

Us. You'll have a direct line to a person, not a support ticket queue.

We'll show you what the same thing looks like when it collects payment and chases the families who don't finish.
